Privacy Policy

Plain-language summary

Car MAIT stores the information needed to run a workshop. We do not sell personal information. Workshop customer data is used to provide the service to that workshop. People can ask to access or correct their information.

1. Who this policy covers

Car MAIT (“Car MAIT”, “we”, “us”) provides workshop operations software. This policy covers workshop owners and staff, prospective users, and people whose customer or vehicle information is entered by a workshop.

For workshop customer information, the workshop decides what to collect and why. Car MAIT processes that information to provide the service on the workshop’s instructions. Each workshop remains responsible for its own collection notices, customer communications and legal obligations.

2. Information we collect

We may collect account and team details; workshop contact, tax, banking and branding settings; customer contact and consent details; vehicle, booking, inspection, work, parts, quote, invoice, payment and receipt records; uploaded photos and voice notes; support feedback; application error details; and security, device and usage information.

Information may come directly from you, from another authorised member of your workshop, from a customer using a Car MAIT link, or from a supplier or integration you choose. Where New Zealand law requires notice for indirect collection, the workshop and Car MAIT will take reasonable steps to provide it or rely on an applicable exception.

3. Why we use information

We use information to create and secure accounts; operate bookings and workshop workflows; produce quotes, invoices and receipts; send authorised service messages; provide support; prevent misuse; diagnose errors; improve the product; meet tax, accounting and legal duties; and protect the rights and safety of users and others.

Car MAIT does not make automated decisions that have legal or similarly significant effects on individuals. AI-assisted transcription or structuring must be reviewed by workshop staff before customer-facing use.

4. Sharing and overseas processing

We disclose information only as needed to the relevant workshop and its authorised users, a customer using a secure portal link, service providers that host or deliver the product, professional advisers, or authorities where lawfully required. We do not sell personal information or use workshop customer lists for unrelated advertising.

Providers may include database and authentication hosting, cloud deployment, email, optional SMS, payment subscription billing, and optional AI transcription services. Information may be processed in New Zealand, Australia, the United States, and other countries where those providers operate. We use contractual and technical safeguards appropriate to the information and remain subject to applicable cross-border privacy duties.

5. Security and retention

We use access controls, workshop-level data separation, encrypted network connections, restricted service credentials, audit records and operational monitoring. No system is completely risk-free, so workshops must also protect accounts, use strong passwords and remove former team members promptly.

We retain information while an account is active and as reasonably needed for service delivery, dispute handling, backup recovery and legal or accounting requirements. Following a valid closure or deletion request, we delete or de-identify information unless retention is required by law or necessary to establish or defend legal claims. Backup copies may remain for a limited recovery cycle.

6. Access, correction and deletion

You may ask for access to or correction of personal information about you. You may also request deletion where applicable. Email admin@themait.net with enough detail for us to verify and locate the information. A workshop customer may be referred to the workshop where it controls the relevant record.

We aim to respond within 30 days, or sooner where applicable law requires. We do not charge for making a correction request.

7. Privacy incidents and complaints

Report suspected misuse or a privacy incident immediately to admin@themait.net. We will assess, contain and investigate it. Where a breach is likely to cause serious harm, we will notify affected people and the New Zealand Privacy Commissioner or Australian authorities where required.

Send privacy complaints to the same address. We will acknowledge and investigate them. If unresolved, you may contact the New Zealand Office of the Privacy Commissioner or the Australian Office of the Information Commissioner, as applicable.

8. Changes and contact

We may update this policy as the service or law changes. Material changes will be communicated in the app or by email before they take effect where practicable. The version accepted by a workshop is recorded.
